We are looking for a proactive and structured Facility & Office Manager to oversee daily operations at our Hadsund facility. This role combines facility management, facility coordination, office administration, and support for EHS and EMS activities to ensure a safe, efficient, and engaging workplace for approximately 120 employees.

In this position you would be expected to be in the office 5 days a week.

You will be responsible for:

Facility Management
• Oversee building maintenance and ensure facilities are functional and compliant
• Ongoing monitoring of water, heating, and electricity consumption, management of supplies, and other facility-related operational tasks to ensure efficient and cost-effective operations
• Coordinate and manage canteen, cleaning, security, and alarm service providers
• Responsible for Facility budget
• Act as the primary contact with the landlord
• Manage and maintain EV charging infrastructure
• Serve as the general facility contact point for internal stakeholders
• Take part in “workers committee” meetings (SUMO)

Office Management
• Act as a central communication link within the site (approximately 120 employees)
• Plan and coordinate internal communication activities, including town hall meetings
• Serve as the contact person for the employee club
• Manage relationships with office suppliers and ensure supply availability
• Coordinate and support guest visits, ensuring a professional and welcoming experience
• Identify opportunities to maintain, develop, and improve the site environment and culture

EHS & EMS Support
• Support the implementation and maintenance of EHS and EMS programs, policies, and procedures
• Assist in ensuring compliance with applicable health, safety, environmental regulations, and company standards
• Support internal and external EHS, EMS, and quality audits
• Coordinate and follow up on site-related corrective and preventive actions
• Assist with workplace inspections, risk assessments, and safety initiatives
• Support incident reporting, investigation, and follow-up activities
• Help promote a strong culture of safety, well-being, and environmental responsibility across the site
• Coordinate site activities related to emergency preparedness and response
• Work closely with EHS and business leaders to identify opportunities for continuous improvement in safety and environmental performance

Reporting Line & Collaboration
• Reports to: Site Manager
• Works closely with:
o SUMO organization (Samarbejdsudvalg & Miljøorganisationen)
o Local site management
o ECC (Employee Care Committee) – all Danish sites
o Global EHS (Environmental, Health & Safety) Manager
o EMS (Environmenal Mangement System) Manager
o Procurement, HR and Operations teams

You may be a strong fit for this role if you possess the following qualifications and skills:
• Strong organizational and coordination skills with the ability to manage multiple responsibilities
• Excellent communication and stakeholder management abilities
• Hands-on, proactive, and solution-oriented mindset
• Experience in facility, office, site management and/or EHS support roles is preferred
• Knowledge of health, safety, and environmental regulations is an advantage
• Ability to work independently and collaborate across teams
• English and Danish speaking
