Job description
The job's overall purpose is to support the CSO to ensure sales and marketing operations run according to plan and budget. Ensure that all sales and marketing processes and supporting systems are up to date and maintained.
Key areas of responsibility:
- Administration of sales & marketing activity planning and execution
- XO Certified Partner administration
- Set up and maintain supporting systems
- Administration of end-customer relations
Key tasks:
Administration of sales & marketing activity planning and execution
- Coordinate sales & marketing activities (incl. leading the orchestration and participating in selected key events and exhibitions) across all markets in collaboration with the XO country sales representatives, technical service and the marketing team
- Assist CSO and CMO with creating and maintaining sales & marketing documentation (brochures, exhibition stands, signs, clothes, sales education programs, etc.)
- Maintain all information at xo-care.com (and xo-care.de; xo-care.fr & xo-care.it) – in collaboration with CSO and CMO
- Maintain XO Dictionary
XO Certified Partner administration
- Maintain information concerning XO Certified Partners and key employees in CRM
- Assistance to XO Certified Partners concerning sales and marketing documentation and activities
- In collaboration with the CSO assure that written agreements are prepared, undersigned revised if necessary and annually renewed regarding all XO Certified Partners
- Maintain the list of XO Certified Partners on xo-care.com with correct data
Set up and maintain supporting systems
- Maintain and update CRM
- Maintain and update Trello
Administration of end-customer relations
- Design, execute and evaluate a yearly end customer satisfaction survey
- Maintain a list of KOLs and agreements made
- Keep track of XO Ambassador performance according to agreements
- Follow up on customer feedback via social media etc. and make sure that relevant feedback is processed in claim reports, in the idea database etc.
Criteria of Success
- Support efficient planning and execution in sales & marketing operations
- Be the CSO’s ‘right hand’ and deliver on ad hoc tasks to make the daily function of sales & marketing optimal
Your profile
Critical experience:
- Substantial experience from a similar job where your main objective is to secure that the CSO can use ressources in an optimal way
- Experienced user in relevant IT systems such as CRM, BI, Excel, ERP, Trello
Skills and behaviour:
- Structured and extremely well organized and persistent
- Eye for detail without losing the overview in pressured situations
- Analytical and experienced user in CRM, BI, Excel, ERP, Trello
- Process oriented, that is, taking pride in the role as Team Administrator (prev. referred to as ‘Team mum’) ensuring that cross-communication and -collaboration runs smoothly while keeping deadline
- Understands commercial processes, distribution network etc.
- Communicates fluent in English and Danish in writing and speaking
- After onboarding, works independently with assigned tasks
- Independently takes responsibility for excelling in the area/developing the work area
Education
- You have a relevant commercial education

We develop and manufacture the XO products in a refurbished and top-modernized historic setting in Hørsholm, Denmark.
Both the second and third generation of the Sørensen family are still active in the company: Kim Sørensen as CEO and Chief Designer, and Peter Sørensen as CTO.
XO CARE has approx. 75 employees engaged in all processes related to designing, developing, manufacturing, selling, and servicing medical dental devices, some of whom are working from Germany, France, and Italy.

The new Commercial Coordinator will refer to the Chief Sales Officer (CSO).
The position is placed at the Headquarter in Hørsholm, Denmark.
