POSITION OBJECTIVES
The Procurement Coordinator contributes to the efficient and effective procurement, with a particular responsibility for initiating and Overseeing the Procurement activities offering support in both the country Office and the field offices.
Regardless of the content of this job description the employee is expected to participate in any task necessary for the organization delegated by the manager at all times.
MAIN RESPONSIBILITIES
Oversee procurement needs, including managing tender procedures, obtaining quotations, placing orders/contracts, and disposing of assets as per the DCA procurement manual.
- Ensure compliance with Procurement Policies and Guidelines of both DCA and donors.
- Develop, implement, and regularly update DCA Procurement plans.
- Maintain and update PRF and FWA trackers, ensuring all procurement data is accurate and up-to-date.
- Leverage procurement systems to manage processes, including uploading documents to the PPD system on a monthly basis.
- Lead the allocation of workload across procurement staff to optimize team performance.
- Collaborate with departments to identify procurement needs and ensure the timely receipt of goods and services.
- Address vendor complaints and concerns promptly to guarantee uninterrupted services.
- Oversee invoice processing, including receiving and signing expense invoices and acts of completion.
- Compiles all information reports and produces the country report, including annexes
- Prepare monthly and or quarterly procurement progress reports and share with field staff
- Collaborate with programme teams on procurement forecasts and align on delivery schedules to meet project timelines
- Training of the Procurement staff on proper procedures
- Build and develop meaningful and effective relationship with partners at all levels
- Foster continuous improvement by identifying and implementing process optimizations.
