We are currently looking for a motivated Junior Event Coordinator to join our Global Events Team in CIP, based in our headquarters in Copenhagen.
The Team
The Events team plays a pivotal role in shaping the cultural and professional landscape at Copenhagen Infrastructure Partners. It is a dynamic, fast-paced team delivering high-profile events across global markets and known for meticulous planning and precise execution. Their portfolio spans large-scale conferences, immersive brand experiences, and creative campaigns that leave a lasting impact.
You will work with a tight-knit team of five colleagues in a collaborative, supportive, and innovative environment.
The Role
As a Junior Event Coordinator, you will be part of an engaged team, working under the guidance of the Head of Events.
Responsibilities will consist of, but are not limited to:
- Event coordination support: Assist in the planning and execution of internal and external events, including large-scale conferences, professional workshops, and informal team-building activities.
- Logistics management: Coordinate event logistics such as venue arrangements, catering, audio-visual setup, transportation, and materials preparation.
- Vendor coordination: Communicate with vendors and service providers to ensure timely delivery and adherence to quality and budget requirements.
- Registration & attendee management: Manage attendee lists, track registrations, and support communication efforts before, during, and after events.
- Event collateral & materials: Prepare and distribute materials such as name badges, agendas, signage, and presentation handouts.
- On-site event support: Provide practical, active support during events, including set-up, guest management, and resolving any issues that arise.
- Post-event follow-up: Support the collection of feedback, assist with debriefs, and contribute to evaluation reports to improve future event planning.
- Budget tracking: Assist in monitoring event budgets and ensure accurate documentation of expenses.
The position is a 12-month contract with the possibility of renewing year by year for the right candidate.
You
We are looking for a junior profile, f.ex. recently graduated from high school, taking a year or two off before continuing your education or somebody willing to pivot their career in a new direction.
We look for the following in a candidate:
- Solid knowledge of MS office; experience with Power Point and Canva is a benefit
- Capability to manage time efficiently and handle several responsibilities concurrently. It will be required to work flexible hours from time to time.
- Resilient, service minded, with positive “getting-things-done” attitude
- Excellent interpersonal and communication skills with demonstrated ability to build and maintain professional relationships both internally and externally.
- Attention to detail and an initiative-driven, motivated approach
- Flexible and adaptable, with the ability to respond to last-minute changes or challenges
- Team-oriented, collaborative, and supportive in working with others toward shared goals
- Budget management experience is beneficial
